10 Easy Tips to Organise Your Office Space

Maintaining an organised office is much more effective if you treat it like an ongoing project, instead of a massive assault. So, if you’re ready to get started, the following tips will help you transform your office into an efficient workspace.

10 Easy Tips to Organise Your Office Space

1.      Be ruthless: - De-clutter, empty, shred, get rid of everything that you don’t need or have not used for a while. If something doesn’t work, get it repaired or throw it out. This applies to furniture, equipment, supplies, etc.

2.    Establish work “zones”: – You will probably have a desk and it is a good idea to have a filing cabinet, or shelves, and a cupboard or drawers for stationary items. Place the appropriate equipment and supplies in the proper area. Position what you use regularly within easy reach but avoid cluttering up your desk.

3.    Label everything: – Label shelves, folders and drawers. Not only will it remind you where things go, but it will also help if someone else needs to find, use, or put away anything in your workspace.

4.    Reduce your paper files:  – Decide what you can store on your computer – but do make sure you are doing regular back-ups.

5.     Clear your piles:  Go through the piles (a little at a time if necessary) and file items in the appropriate place or throw them out.

6.    Use filing trays:  – Label the trays ‘Urgent’ ‘Non urgent’ ‘Pending’ or whatever best works for you. Sort your post out in this way too.

7.     Clear your desk: – Remove everything, clean it thoroughly and put back only those items that are essential for daily use. Use desktop organisers or containers to organise the items on your desk. Use trays for papers, containers for smaller items

8.    Organise your drawers: – Put items used together in the same drawer space, stamps with envelopes, sticky pads with notepads, etc. Use drawer organisers for little items – paper clips, tacks, etc. Use a separate drawer for personal items. 

9.   File weekly: – Don’t let your filing pile up. Put your papers in a “To File” folder and file everything once a week.

10. At the end of the day: - Spend about 15 minutes to update your to-do list, file completed projects and replace items in their proper place. This will create a clean, fresh, organised start for the next morning.

The amount of effort you put into creating and maintaining an efficient work area will pay off in a big way. Instead of spending time looking for things and shuffling piles, you’ll be able to spend your time…well…working.
